Overview

The Problem

Records retrieval consumed a full employee's time in-house, then 5–10 weekly hours chasing a vendor that still delivered slow, incomplete results.

RF Injury Law

About the company

Founded in 1999 by Bill Ricigliano, RF Injury Law is a boutique personal injury practice built around getting results for clients. With approximately 150 active cases at any given time, every single one requiring medical records, getting those records quickly and reliably is core to how the firm moves cases forward.

RF Injury Law tried retrieval in-house with a dedicated employee and then an outside vendor. In-house required a full staff member chasing providers; outsourcing simply meant the firm was chasing the vendor instead. By the time they found Codes, they were spending 5–10 hours a week on vendor follow-up alone.

A Trial Emergency

Imaging films were urgently needed so an expert witness could testify. Codes coordinated with both facilities and got the films delivered the next day.

“The main issues were the lack of responsiveness and exceedingly long turnaround times… we spent too much time following up with the vendor rather than the provider directly.” — RF Injury Law

Two things mattered: an intuitive portal and direct access to a dedicated person when something urgent came up. The firm evaluated two competing vendors but found their portals confusing and lacked a clear path to a real person.

Onboarding was guided by dedicated contact Andrew D'Almeida. The firm does not use an automated CRM integration; when a case is signed, treatment-related records are requested, with new requests submitted as the matter develops.

Records, every single day

“Huge difference! My office gets multiple records every day. The turnaround time is so good that sometimes I wonder how Codes does it.”

A full-time role, redeployed

The firm no longer needs an employee dedicated to records retrieval and no longer spends 5–10 hours each week following up with a vendor. That time has gone back into managing the caseload.

When it counted most: a trial emergency

Ahead of trial, the firm urgently needed imaging films for an expert witness. Codes coordinated repeatedly with two radiology facilities, including one known for delays, and the films arrived the next day each time.
